Quotes and invoices that match how repairs are sold

A repair quote is a promise made before the work, and an invoice is the record after it. do.repair keeps the two joined, so the number a customer agreed is the number they are asked to pay.

Who sees what

A quote is a list of lines: labour, parts, a call-out fee for visits, and anything else you need. Each line has a quantity and a price. Below the lines goes a plain-English summary of what is wrong and what you will do, because customers read that part before the numbers. It also has a valid-until date.

You can build it by hand, or from the diagnosis on the job once you have ticked the causes and parts you agree with. In that case labour comes from your hourly rate and parts come from your own stock prices. A part with no price anywhere shows as a visible zero line for you to fill in. It never makes one up.

The customer gets a link to their tracking page where the quote is waiting. They can approve it, decline it, or ask a question. They can also just reply: an SMS quote ends with a six-digit approval code, so reply ACCEPT and the code approves it, and DECLINE turns it down. A reply without the code gets the code sent back to the customer's own number, so nobody can approve a quote by pretending to be them. Replies are understood without any AI involved.

If they decline, they are asked why and the answer is kept on the quote, which is the most useful thing to learn from a lost job. If a quote goes quiet, a follow-up can be sent for you once you switch that on. You choose the tone.

For jobs with an expensive part, you can set a threshold above which a deposit is asked for on approval.

VAT is added only when your shop has a VAT number saved. Without one, quotes and invoices show no VAT at all, and the VAT rate field stays switched off. Add the number later and VAT switches on at the rate you saved.

When a job is finished, the invoice is created from the job and the approved quote. It is a PDF with the details HMRC expects, and it is also on the customer's tracking page. Part payments are tracked, and an invoice is only marked paid when the money adds up.

Customers can pay by card from the invoice. The payment goes to your own Stripe account, so you can see it there as well as in do.repair. Stripe charges its normal card fee, and do.repair adds a small fee on top; both are set out on the pricing page and in the terms. Cash, bank transfer and card-in-shop payments can be recorded by hand.

Refunds, whole or partial, are made from the invoice. do.repair sends the refund through Stripe and takes the matching amount back from your balance, and a refund made straight in the Stripe dashboard is picked up and booked once.

Owners and admins can refund and change prices. Technicians can build quotes and record payments but cannot cancel jobs. Every change to money is logged.
